Letters (信函)
书信作为信息的使者、感情的纽带、友谊的桥梁,在日常生活与社会交往中有着不可忽视的作用。一封得体的书信,不仅可以传递信息、沟通思想,有助于人们促进交流,增进了解和加深友谊,而且还有助于人们开展社会交际,节省时间,减少麻烦与不便。
随着对外交流的进一步发展与扩大,英文各类信函的运用范围越来越广。但究竟如何拟就这些信函,这里边学问很大。它不光要求写信人掌握书信的格式和行文准则,还要求他们勇于实践并根据具体情况对这些格式和准则加以灵活运用。
信函的种类
生活中的信函种类繁多,按其不同用途可分为:邀请信、请求信、劝告信、感谢信、致歉信、祝贺信、慰问信、申请信、介绍信、推荐信、建议信、求职信、拒绝求职信、接受职位信、辞职信、投诉信、询问信和寻找失物信等等。根据所写的内容,确定写作模式,包括句子结构和关键词语等要素。
信封的格式(superscription)
写信人的姓名地址位于信封左上角(或信封背面中上方)。收信人的姓名地址位于信封中央或偏右。
收转:在收信人姓名下方写上收转人的姓名,并在前面写上c/o字样。
英文书信结构(structure)
信头(heading)是指发信人的地址和日期,通常写在第一页的右上角。行首可以齐头写,也可以逐行缩进写。地址的书写顺序由小到大:门牌号、街道、城市、省(州)、邮编、国名,最后写发信日期。私人信件一般只写寄信日期即可。例如:

注:日期按照下列格式:June 1,2012(美国),1 June,2012(英国)。
信内地址要写收信人的姓名和地址。在公务信件中要写明这一项,在私人信件中,这一项常常省略。该项写在写信日期下一行的左上角,格式与寄信人地址一样。
称呼(Salutation)
称呼是对收信人的称谓,应与左边线对齐,写在收信人姓名、地址下面1-2行处。在称呼后,英国人常用逗号,美国人则常用冒号。在私人信件中可直呼收信人的名字,但公务信件中一定要写收信人的姓。大部分信件在称呼前加“Dear”。如:
Dear Professor/Prof. Bergen:
Dear Dr. Johnson,
对不相识的人可按性别称呼:
Dear Sir: 或Dear
Madam: Dear Ladies。
如果不知收信人的性别则可用Dear Sir or
Madam:
正文(Body of Letter)
正文是书信的主体。与中文信件不同的是,英文书信的正文的开头不是先写一些问候语,再阐明写信的目的,而是直接说明写信人的身份及写信的目的,然后提出写信人的情况、想法或要求,并加以必要的解释或说明。英文书信陈述目的时,应该直截了当,意思明确,层次清楚,言简意赅。
书信正文的第一句话或第一段,通常被称为起首语。一般说来,人们习惯用一些客套的写法作为书信正文的起始,即先将对方来信的日期、主题加以简单描述,以便使对方一看便知该信是回答哪一封信的。如果是第一次给别人写信,也可用开头语作必要的自我介绍,并表明自己写信的主要目的。
结尾礼词(Complimentary Close)
公务信件的结尾礼词包含两部分:发信人的结尾套语与署名。结尾套语写在签名上面一行,第一个字母要大写,套语结尾后面要加逗号。在公务信件中,发信人常用的结尾套语有:
Yours truly, Yours sincerely,
Respectfully yours, Cordially yours, Yours cordially等。
私人信件中,发信人常用的结尾套语有:
Sincerely yours, Lovely yours, Your
lovely, Your loving son/daughter等。
签名(Signature)
写信人的签名常位于结尾礼词正下方一二行。除非是给很熟悉的人写信,签名一般须写出全名。签名常常较潦草,不易辨认,因此在签名的正下方须打印出全名。
如果有附件,则可以按照这样的格式写:Enclosure: XXX。如果有另外的事情需要补充,则可以用P.S.开头,表示“又启,又及”的意思。
有什么写什么即可。但注意五项基本原则。

Consideration(体贴)
体贴主要指在英文书信写作过程中,写信者应设身处地地想到对方,尊重对方的风俗习惯,即采取所谓的“you-attitude”(对方态度),尽可能地避免使用“I-attitude” “we-attitude”(我方态度)。另外,还应该考虑到收信者的文化程度、性别等方面的因素。

Conciseness(简洁)
优秀的英文书信应该行文流畅、言简意赅,避免冗长。这就是说写信者应用尽可能少的文字表达其必须传递的信息。
Clarity(清晰)
清晰是指写信者将所需传递的信息表达清楚,以免对方产生误解。例如:
I am writing to apply for admission to
the graduate school of your university in the spring of 2012.
I am writing to apply for admission to
your university.
Courtesy(礼貌)
书信交往,同样需要以礼待人。在写信过程中,应避免使用伤害对方感情的表达,措辞上多选用礼貌委婉的词语,如would, could, may, please, thank you。
Correctness(正确)
英文书信中,除了避免语法、拼写、标点符号错误外,其所引用的史料、数据等也宜准确无误。
Thank-you Letter(感谢信)
Thank-you letters are the best way to
express your appreciation to a person. A thank you note does not only show your
gratitude, but it also makes the receiver feel the genuineness of your thanks.
It makes the receiver believe that his/her effort was noticed and respected.
You can always email a thank you letter, but hand written thank you letters
give a personal touch.
The Format of a Thank-you Letter
Paragraph 1 should be used to express
your appreciation.
Paragraph 2 should explain your
appreciation in details.
The last paragraph should be a summary
of the letter. Restate your thanks and appreciation. Use a sentence, for
example, ' We thank you once again for taking time to meet with XYZ and Bros.'
The closing should contain 'Sincerely',
followed by a comma. Skip four single lines and write your full name. Sign in
the space between the closing and your name.

写推荐信的人必须对被推荐者有一定的了解,并且写信的人名声越大越好。推荐信大体上可分为两种:专业推荐信(特意为被推荐人申请某一单位的某一职务而写的。写信人应了解聘方的要求、工作性质等有关情况以便有的方矢地推荐被荐人),和一般通常推荐信(reference letter即一封信可以用于不同的聘人单位,通常以“To Whom It May Concern”)为称呼。
