Registry Office

The Registry Office plays a pivotal role in supporting the academic functions of the University by offering an extensive range of services to students and staff, and the university’s core actives and learning and teaching.

It is responsible for managing the University’s student data and providing academic services that foster student growth. Additionally, this office supports various aspects of academic operations and manages the core student information system, aligning with the University’s educational goals.

Main responsibilities

  • Academic Affairs Support Teamresponsible for planning and supporting University-level academic events as assigned, and also responsible for managing applications and following up on procedures for major academic events. Additionally, the team provides administrative support to University committees and operational management of committee student representations. Furthermore, the team manages and facilitates other university strategic academic affairs, including Annual Planning Activities (Academic), Non-Degree Education Programmes, and Academic Excellence Awards.
  • Assessment Team: responsible for managing all operational aspects related to module assessment. This includes formal exam timetabling and administration processes, assessment quality assurance processes such as assessment moderation, external examining, and boards of examiners, as well as student assessment support and compliance processes encompassing academic integrity and misconduct, mitigating circumstances, and assessment appeals.
  • e-Bridge Teamresponsible for managing and maintaining the University’s central student information system (SITS) and its web portal (e-Bridge), including system upgrades and maintenance, data management, online feature development and maintenance, technical support, training and documentation, etc. The team is also responsible for generating reports and providing data analytics to facilitate evidence-based decision making, strategic planning, programme review, and accreditation.
  • Student Academic Services Team: dealing with day-to-day student and/or parents enquiries, and provide supports to students where needed; issuing and distributing transcripts and certificates upon student request; hosting programme choice and transfer events for undergraduate students; hosting or participating in various student induction events; managing and distributing Graduation Package(graduation and/or degree certificates); supporting Academic Advisor allocation; providing administrative supports to Progress Committee(s); and the annual editing and updating of various handbooks, brochures and FAQs for students.
  • Student Administration: responsible for the central management of student records and student administration process throughout student university lifecycle from admission to graduation, including new student enrolment, annual registration and registration status change, tuition fee management, progression and awards processing, academic certificates production, and module questionnaire administration.
  • Timetabling Team: responsible for maintaining precise curriculum-related records like module specifications and curriculum structures for smooth student enrollment and subsequent procedures. The team also creates class timetables based on teaching resources and curriculums, allows students to personalize their timetables, and provides administrative support such as teaching space predictions, utilization analysis and module size estimation.
  • Registry Support Team (TC): based on Taicang campus, is responsible for providing comprehensive and localized academic services to XEC’s students and staff, arranging and supporting assessment related events and processes in XEC, and coordinating on the delivery of other stakeholder-facing Registry functions on TC campus as necessary.
